Electronic Filing

AGRITROP: Journal of Agricultural Sciences is committed to maintaining the long-term accessibility, integrity, and preservation of scholarly records through a secure electronic filing and digital preservation system.

The journal manages all manuscript submissions, peer-review records, editorial decisions, and published articles through an electronic journal management system to ensure transparency, accountability, and traceability throughout the publishing process.

AGRITROP follows internationally recognized principles of scholarly publishing that require journals to maintain accurate, accessible, and permanent records of published research. COPE, Core Practices .

Electronic Filing System

All journal-related documents are managed electronically, including:

  • Submitted manuscripts;
  • Revised manuscripts;
  • Reviewer reports;
  • Editorial correspondence;
  • Editorial decisions;
  • Accepted manuscripts;
  • Published articles;
  • Article metadata and publication records.
Primary Archival Infrastructure

Electronic records are stored securely through the internal server infrastructure of Universitas Muhammadiyah Jember as the primary archival system.

Access to unpublished manuscript files and confidential editorial records is restricted to authorized personnel involved in journal management and publication activities.

Digital Preservation and Archiving

To ensure long-term availability and protection of published scholarly content, AGRITROP implements multiple preservation mechanisms.

Preservation Mechanisms
01 Internal University Server Archiving

All manuscript records and published article files are stored on the institutional server managed by Universitas Muhammadiyah Jember to maintain secure access, data control, and continuity of journal operations.

02 LOCKSS/CLOCKSS Digital Preservation System

AGRITROP participates in the LOCKSS (Lots of Copies Keep Stuff Safe) / CLOCKSS (Controlled Lots of Copies Keep Stuff Safe) preservation system through the Open Journal Systems (OJS) platform.

This preservation mechanism creates distributed archival copies of published journal content to ensure long-term accessibility and protection against data loss, system failure, or unexpected disruption.

LOCKSS/CLOCKSS is widely recognized as a digital preservation approach that enables libraries and publishers to maintain permanent access to scholarly content.

Data Backup System

In addition to digital preservation services, AGRITROP implements an institutional backup system through the university’s internal server infrastructure.

Backup procedures are performed automatically according to the following schedule:

Weekly Automatic Backup
Maintains recent recovery points and protects current journal data.
Monthly Automatic Backup
Supports long-term recovery and archival security.
Protected Data
  • Manuscript submission records;
  • Editorial workflow data;
  • Reviewer information;
  • Published article files;
  • Journal metadata.

These procedures support continuity of journal operations and minimize the risk of permanent data loss.

Confidentiality and Data Security

AGRITROP maintains strict confidentiality and security controls for all electronic journal records.

Unpublished manuscripts, reviewer reports, and editorial communications are confidential and accessible only to authorized individuals.

Reviewers and editors must protect confidential manuscript information and must not disclose or use unpublished materials for purposes unrelated to editorial evaluation. COPE, Ethical Guidelines for Peer Reviewers .

Long-Term Accessibility of Published Articles

All articles published in AGRITROP remain permanently accessible through the official journal website.

Through institutional archiving, OJS preservation mechanisms, and LOCKSS/CLOCKSS participation, AGRITROP ensures that published scientific knowledge remains available for future researchers, educators, practitioners, and the wider academic community.

The preservation of published content supports transparency, reproducibility, and the continuity of the scholarly record. COPE, Principles of Transparency and Best Practice in Scholarly Publishing .
